Set of Books Problem

Dear Admin,
I will soon send u the Screen Shots for my problem.
But in short, i have faced this problem of Set of Books previously two more times.

When i have go throuh the problem, i found that if i when log in my user, i have a responsibility of General Ledger, i want to do some changes in my set of book , but when i go to book->define, i found that there are other set of books are intact but my parent set of book on which i was working regularly, shown in my lov of selection of set of books but restrict me to select my parent set of book, when i select any other set of book i allow me to do so, last time when it happens i have to create my new set of book, but this time it is very difficult for me, because i have already done a lot of work, and one more thing i want to know how to take backup, because it happens regularly with me so i want to take backup and also help me if there is any procedure to take backup from application besides go to back end.

have you set you HR Profile options for your responsibility and GL set of Book Profile Option...?
