Cost Allocation FF segment for particular element

Post by 2vamsikrishna »

Hi,

I am working on Payroll implementation (R12 - UAE legislation). This is regarding restriction of cost allocation flexfield segment for a particular element.

The requirement is as below:

The cost allocation FF structure is same as accounting FF with same value sets. The structure is Company-Department-Account-Subaccount-Intercompany.

The subaccount segment is used to track the employees when any advance is paid. When salary advance is paid to an employee, the accounting for the invoice booked in AP;

DR 01.000.Salary Advance A/c.E004.00 10,000.00
CR Bank 10,000.00

E004 refers to the employee code under the value set for the Subaccount segment.

If the deduction is to be made in 10 installments from payroll, the same would be entered under the salary advance (recurring) element with corresponding details. The entry for this would be;

DR Salary Payable A/c 1,000.00
CR 01.000.Salary Advance A/c.E004.00 1,000.00

For this to happen, the subaccount segment has to be enabled at Element Entry level and the same value (E004) has to be entered. All other segments are enabled at appropriate levels.

The problem is that if the subaccount segment is enabled at element entry level, how to confine it only to Salary Advance element. Because if it is enabled for other elements like Basic Salary and if the value is entered, when the entries go to GL, any GL user can get to know the salary of the employee through the sub account code. This should not be the case as Salary info is very confidential.

Hi,

Thanks for the reply.

This is not with respect to two or more segments. This is the matter of restricting a segment to a particular element.

Dear Vamsi,

I am thinking of using forms personalization to open the field only when the element is "Salary Advance". I think this would work. Kindly try it and feed us back, or if you got to a solution, please share it here.

Best Regards,

Ahmad Ghanem
