How to create automatically HR Organizations

Hi Guys,

How to create automatically HR Organizations based on GL Account Combination, kindly help me as this is urgent.

Yes u can , try 'Create and Maintain Company Cost Center Organizations' in HRMS.

THe following are the steps to acheive ur requirements.


STEP 1 - Create a DBI GL Super User Responsibility and attach it to your user


Using GL super user responsibility - Setup => Financials =>Flexfields => Key
Note: Accounting flexfield can also be created from System administrator responsibility


STEP 2 - Create accounting flex field with the following three segments (DBI_STR)

A) Company
B) Department
c) Account
With the following Flexfield Qualifiers

1)For company - Balancing Segment
2) For Department - Cost Center Segment
3) For Account - Natural Account Segment

Note: check ?Allow Dynamic Inserts? check box before compile/save the accounting flexfield.

Value sets are also to be created:

Company:
Value CH - Give Description as Company 1
Ensure that both the qualifiers'(Allow Budgeting, Allow Posting) value are set to 'yes"

Department:
Value as
CC1 - Description cost center 1
CC2 - Description cost center 2
CC3 - Description cost center 3
Ensure that both the qualifiers'(Allow Budgeting, Allow Posting) value are set to 'yes"

Account:
Value as
AC1 - Description as Account 1
Ensure that both the qualifiers'(Allow Budgeting, Allow Posting) value are set to 'yes" and Account type is set to Ownership/Stockhold...


STEP 3 - Create Calendar

Setup => Financials =>Calendar=> Accounting
Create accounting calendar (DBI Calendar)
Prefix - XX Type Month Year 2000,1,1, from 01-jan-2000 to 31-dec-2020 name: XX-00


STEP 4 - Create Set of Books

Set of books: DBI Ledger
Short name DBI LEDGER2082(OMR)
Chart of Accounts: DBI_STR
Calendar: Name: DBI Calendar (To ensure that the period type defaults to what we have created while creating calendar)

Using ?Closing Tab? in the Set Of Books (DBI Ledger) form
Click in Retained earnings field
Ensure that it opens the accounting flexfield structure
With the following segments:
Company: Select CH
Department: Select CC1
Account: AC1

Save form.

STEP 5 ? link set of books to DBI GL Super User Responsibility

System Administrator : profile > system
Profile option GL Set of Books Name
Set this to the set of books created in step 4 for the responsibility created in step 1

STEP 6 ? create GL account combinations

Using GL responsibility
Navigate from Setup => Accounts => Combinations

In the combinations form:
Click on Account field
Ensure that it opens the accounting flexfield structure
With the following segments:
Company: Select CH
Department: Select CC2
Account: AC1

Save form

Create another combination as

Company: Select CH
Department:Select CC3
Account: AC1

Save form

STEP 7 ? create business group

With some HRMS responsibility, linked to setup business group:
Create a business group

STEP 8 ? link HR responsibility to the new business group

STEP 9 ? define organization for company

Create an organization with classification as ?Company cost center?
Click on others. Attach the classification ?Gl Company cost center? to the organization and
attach the company value set as COMPANY (created above) and Company as CH.

Only the following parameters should be populated.

Company Value Set -
Company

Save the record

STEP 10 ? set synchronization profile options

Navigate to Profiles form (System administrator responsibility)
Set the following profiles
1)HR: GL organization name format = set it to your responsibility level (Company name --cost center name) (at site level)
2) GL Set of Books Name: select the set of books created in step 4 to ur responsibility (Resp: DBI gl super user responsibility)

STEP 11 ? run ?Create and maintain company cost center organizations?

Navigate to process and reports
run the process: Create and maintain company cost center organizations
Parameter: Chart of accounts : DBI_STR (Created in step 2)
Company: CH (Created in step 2)

Submit the process;

RESULT

As we have created three GL Account combinations, three organizations are automatically created using ?Create and Maintain Company Cost Center Organizations? process.

Now navigate to Organization => Description
Query for the organization COMPANY 1 - COST CENTRE 1
Ensure that the above organization has the following classifications
1) HR organization
2) Company cost center

Select company cost center: Click others:
Select GL Company cost center
open the field
Ensure that the following is filled:
1) Company value set: DBI COMPANY
2) Company: CH
3) Cost Center value set: CC1


Now navigate to Organization => Description
Query for the organization COMPANY 1 - COST CENTer 2
Ensure that the above organization has the following classifications
1) HR organization
2) Company cost center

Select company cost center: Click others:
Select GL Company cost center
open the field
Ensure that the following is filled:
1) Company value set: DBI COMPANY
2) Company: CH
3) Cost Centre value set: CC2


Now navigate to Organization => Description
Query for the organization COMPANY 1 - COST CENTRE 3
Ensure that the above organization has the following classifications
1) HR organization
2) Company cost center

Select company cost center: Click others:
Select GL Company cost center
open the field
Ensure that the following is filled:
1) Company value set: DBI COMPANY
2) Company: CH
3) Cost Center value set: CC3
